  • Scanned Document Modality

Posted by vascular28_304 on December 29, 2021 at 1:39 pm

It’s been a while, but can someone remind me…
When techs scan in a document (using typical/standard application) I seem to recall there was one workflow that created the “OT” modality for the document, and one workflow that would actually match the modality of the study/order itself.
Can someone remind me how that is done? I ask because I think OT as a modality for the document is preventing it from dropping into the viewer because hanging protocol is looking for a modality that matches the study.
Do the scanners have MWL? Is that how they ensure it matches the study? If so, is there a setting that determines scanned document modality( match study or create OT?)
    Thanks…

Well, it depends on the software or application being used to scan in the document. The most widely-used app does indeed have the capability to query a RIS or DICOM modality worklist, but it has to be configured to do so. In this same app, the OT modality is the default.
In many cases, the technologists or end users scanning in the paperwork need to manually enter/edit to match appropriate information (MRN, accession, modality), so it would be worth examining the steps occurring in your facility to help identify if a simple shift in workflow can solve the problem.

To be correct, you should really use the “DOC” modality, that was specifically created for documents. OT is mostly used for scanned films in case the modality is not known (a person scanning in a film might not know the modality), but… many use OT regardless for documents as they don’t know any better. Most MWL SCP’s are configurable to do either DOC or OT.

Before I retired I was PACS consultant. I saw this come up many times. The workflow that my customers seemed to select the most was having the document scanning application (PACSGear?) connect to DMWL and select the RIS order that the documents needed to go with. There were two workflows to get the proper modality assigned. In the older workflow the User doing the scanning had to select modality when scanning. This could be problematic if multiple modalities shared the same scanning workstation. In later workflows the modality was designated by the Exam Code that was selected in RIS. This was a much better workflow. It can still be done either way, but the second workflow is preferable. Hope that helps.
